At NoVAPA, the safety, well-being, and dignity of every student is our highest priority. We understand that parents place tremendous trust in us when they enroll their children in our programs. We take that responsibility seriously, and we have established safety standards designed to create a secure, supportive, and positive learning environment for all participants.

Every policy, procedure, and training requirement at NoVAPA exists to protect the young performers in our care. We are committed to:

Providing a safe, welcoming, and inclusive environment for all students.

Maintaining appropriate supervision of students at all times during program activities.

Promoting respect, kindness, and professionalism among students, staff, volunteers, and families.

Responding promptly and appropriately to safety concerns.

Following all applicable federal, state, and local laws related to youth programming.

Partnering with families and cooperating fully with authorities to protect every child.

Screening & Training

Who works with your child.

Every adult with direct student contact is screened and trained before the first day of programming.

Background Checks

Staff Screening & Background Checks

All employees, contractors, volunteers, and other adults who have direct contact with students are subject to screening procedures as required by NoVAPA policies and applicable laws. Screenings include:

  • Criminal history review
  • Sex offender registry review
  • Public court records and document review
  • Employment verification, when applicable
Any individual who does not meet NoVAPA's safety standards may be prohibited from participating in programs involving minors. These checks are completed prior to the first day of camp.
Mandatory Reporting

Mandatory Reporter Training

Under Virginia law, certain professionals who work with children are required to report suspected child abuse or neglect when they have reason to believe a child may be at risk. Even when not legally designated, NoVAPA expects all staff, contractors, and volunteers to immediately report any concern about a child's safety or welfare to leadership. Training covers:

  • Recognizing signs of child abuse and neglect
  • Identifying grooming behaviors
  • Understanding reporting obligations
  • Maintaining appropriate boundaries with students
  • Responding appropriately when a child discloses information
  • Reporting procedures and documentation requirements
Staff are instructed that protecting the safety of a child always takes precedence over concerns regarding inconvenience, reputation, or personal relationships.
Emergency Response

CPR, First Aid & AED Training

NoVAPA strongly encourages all staff to obtain certification in:

  • Adult CPR
  • Child CPR
  • Infant CPR
  • First Aid
  • Automated External Defibrillator (AED) use
Training is offered through the American Red Cross or equivalent nationally recognized providers, and we offer it onsite at NoVAPA prior to the first day of employment. Trained personnel help us respond quickly while awaiting professional medical assistance.

Always Accounted For

Student Supervision

Students are supervised by NoVAPA staff during program activities. Our practices include:

  • Monitoring student movement throughout facilities
  • Maintaining awareness of attendance and student locations
  • Following established sign-in and sign-out procedures
  • Restricting student release to authorized individuals when applicable
NoVAPA works to maintain age-appropriate supervision ratios whenever possible.
Zero Tolerance

Safe Environment Standards

The following behaviors are not tolerated at NoVAPA:

  • Bullying
  • Harassment
  • Discrimination
  • Threatening behavior
  • Physical aggression
  • Sexual misconduct
  • Inappropriate communication with students
Reports of concerning behavior are reviewed promptly and may result in disciplinary action, removal from programs, notification of parents, and/or referral to appropriate authorities.
Professional Conduct

Appropriate Staff & Student Boundaries

We expect all staff, contractors, and volunteers to maintain professional boundaries with students. Examples include:

  • Communicating with students only through approved channels when appropriate
  • Avoiding favoritism or exclusive relationships
  • Maintaining professional conduct at all times
  • Respecting personal space and student comfort levels
  • Following all organizational policies regarding interactions with minors

Clear procedures, current information, and well-maintained spaces keep students safe day to day.

Emergency Procedures

Emergency Preparedness

NoVAPA maintains emergency procedures designed to address:

  • Medical emergencies
  • Severe weather events
  • Building evacuations
  • Shelter-in-place situations
  • Missing child incidents
  • Facility emergencies
Staff receive information on emergency procedures and expectations before working with students. Emergency contact information is maintained for all participants and is readily accessible to authorized staff — please alert us as soon as your information changes.
Health Information

Medication & Health Information

Parents are encouraged to provide accurate and current health information for their children. We request notification regarding:

  • Allergies
  • Medical conditions
  • Emergency medications
  • Special health concerns
When emergency medications are provided, please ensure instructions are current and complete.
Safe Spaces

Facility Safety

NoVAPA strives to maintain safe program spaces by:

  • Conducting routine inspections of program areas
  • Addressing known hazards promptly
  • Following facility safety requirements
  • Maintaining appropriate emergency access routes
  • Monitoring student activity areas

Working Together

Parent Communication

We encourage families to partner with us in maintaining a safe environment for all participants. Parents are encouraged to:

  • Keep emergency contact information current
  • Notify NoVAPA of health or safety concerns
  • Communicate changes in pickup arrangements
  • Report concerns immediately to program leadership
Speak Up

Reporting Concerns

Any parent, student, staff member, volunteer, or community member who has a concern regarding the safety or well-being of a student is encouraged to notify NoVAPA leadership immediately.

Reports are taken seriously and reviewed promptly. When appropriate, NoVAPA will cooperate fully with law enforcement, Child Protective Services, emergency personnel, and other authorities.
