The Fine Print

The agreements, refund terms, and privacy practices that govern your enrollment with Northern Virginia Performing Arts. Please read carefully — registration constitutes acceptance of all policies below.

Section One

Terms & Conditions

By registering with NoVAPA, you agree to the following terms and conditions.

Registration constitutes a binding commitment. Please review every section below before enrolling — the refund and cancellation terms are strictly enforced.

01Registration

Registration is open until it is full, or casting is closed. Once a program is filled or closed to new registrations, a public notice will be posted on the website. A predetermined minimum enrollment will be established before each program opens for registration. Most programming will begin in advance of the start date, and may go up until the start date.

02Balance Due Date

This is the absolute last day that payment may be made for the current enrollment. For all programs, it is the date of registration unless a predetermined payment plan is put in place. If a balance is unpaid by the balance due date, the student cannot participate until full payment is received.

03Refund Policy

Missed Days or Early Withdrawal

No refunds will be given for missed days or early withdrawal from the program. Registration implies a commitment to paying the entire fee.

Dropouts Before Program Start

If the balance has been paid in full and the student drops out no later than 60 days prior to the start of the camp, for any reason, the amount paid may be applied toward a future program. However, all fees are non-refundable without exceptions. This Tuition Credit is only good for one year and administrative fees do apply.

Withdrawal Notice

All withdrawals must be made in writing at least one (1) month prior to the start of the program. Only written withdrawals received within this timeframe will be eligible for payment transfer to another program. No exceptions. Withdrawals made within the 30-day window will not be eligible for tuition credit for future programming.

Partial Payments

Partial payments made toward the balance due are non-transferable and non-refundable without exceptions.

Eligibility for Future Programs

Only accounts that have been paid in full are eligible to be applied to a new program if the student drops out for any reason, and only if it is completed within 60 days of the camp.

Withdrawal within 60 days of Program Start

If a withdrawal is made within one (1) month of the start of the camp, a $90 administrative fee will be assessed. The remaining tuition can be credited for a future program.

Tuition Transfer

Tuition can only be transferred between members of the same family and can no longer be sold online or virtually as of July 2025.

Changes to Tuition

For any changes to tuition — including but not limited to future tuition credit, selling to another family, or tuition transfer to another sibling — there will be an administrative charge of $90.

Change in Location

Northern Virginia Performing Arts (NoVAPA) reserves the unequivocal right to change the location of any camp, rehearsal, class, or performance at its sole discretion due to circumstances beyond our control. These circumstances may include, but are not limited to, facility closures, safety or security concerns, inclement weather, natural disasters, administrative denial of access, or any other unforeseen event that renders the originally scheduled location unavailable or unsuitable.

In such instances, NoVAPA will make every reasonable effort to secure an alternate venue within a reasonable distance of the originally advertised location. The alternate site will meet comparable standards to preserve the integrity, quality, and continuity of our programming. All registered participants will be notified of any location changes through email and/or official communication platforms as promptly as possible.

Important

A change in location, regardless of timing or reason, does not constitute grounds for a refund, credit, tuition transfer, or withdrawal from the program without penalty. No exceptions will be made to this policy.

Cancellations by NoVAPA

Cancellations made by NoVAPA due to weather or other emergency issues will be announced on our website as well as in emails sent directly to all families enrolled. In the event of a cancellation, a make-up class will be scheduled by the instructor or Director. No monetary refunds will be issued.

Please Note

The refund policy is strictly enforced, and no exceptions will be made. Please carefully consider your commitment before registering. We are no longer allowing tuition to be sold to other families without an administrative fee.

04Tuition Insurance

Tuition insurance is available for registrants and provides coverage for potential refunds in the event of withdrawal or cancellation. Refunds will be issued, minus the amount of the tuition insurance purchased.

Tuition insurance is optional but highly recommended to protect against financial loss in case of withdrawal or cancellation.

Eligibility & Claims

To be eligible for a refund based on the tuition insurance policy, the registrant must have purchased tuition insurance at the time of registration. In the event of withdrawal or cancellation, the registrant must initiate a claim by emailing Northern Virginia Performing Arts. The registrant may be required to provide documentation supporting the reason for withdrawal or cancellation.

Additional Terms

The amount of the tuition insurance will be deducted from the refund amount. The tuition insurance policy applies only to the tuition fee and does not cover any additional fees or expenses. The policy is subject to the terms and conditions set by the insurance provider; registrants should review the policy carefully.

Tuition Transfer Conditions

  • Eligibility: Tuition transfers are permitted only if the tuition has been paid in full.
  • Transfer Window: Transfers can only be initiated 60 days prior to the start of the camp.
  • Recipient Criteria: Transfers are restricted to members of the same household. Transfers to individuals on the waitlist or within the broader community are not allowed.
  • Process: To request a tuition transfer, please contact our administrative office at least 60 days before the camp start date and provide proof of payment and household membership.

05Account Balance

  • Balance Due Date: Payment must be made in full by the final enrollment date. For summer programs, this is the date of registration unless a predetermined payment plan is established.
  • Participation Restriction: Students with unpaid balances by the due date will not be allowed to participate until full payment is received.
  • Late Fees: A 3% late fee will be applied weekly for any unpaid balances after the due date.
  • Declined Payment Fee: A 3% fee will be charged for each declined payment.
  • Forfeiture of Tuition: Failure to complete the payment of the remaining tuition will result in the forfeiture of all previously paid tuition.

06Late Pick-Up / Early Drop-Off

As part of the registration process, parents/guardians are required to agree to the Late Pick-Up and Early Drop-Off Policy.

Late Pick-Up Charges

Starting at 15 minutes after the end time, a late pick-up fee of $15 will be charged for every 15-minute increment or part thereof. For example, if a pick-up occurs at 4:15 PM, a $15 fee will be applied. If a pick-up occurs at 4:30 PM, a $30 fee will be applied, and so on.

Early Drop-Off

Families who leave children unattended any time prior to start time will be assessed a $1 per minute fee for each unattended minute at the discretion of staff.

Communication & Enforcement

It is the responsibility of the parent/guardian to communicate any expected delays or changes in pick-up times to the camp staff in advance. All fees will be billed and must be paid promptly. Failure to settle the fees in a timely manner may result in additional consequences, such as restrictions on future participation.

07Zero Tolerance for Bullying

Our programming maintains a zero tolerance policy for bullying. We are committed to providing a safe and inclusive environment for all participants. Bullying, in any form, is strictly prohibited and will not be tolerated.

Definition

Bullying includes but is not limited to verbal, physical, or emotional aggression, intimidation, harassment, or any other behavior intended to harm, demean, or exclude others.

Reporting & Investigation

Any incidents or suspicions of bullying should be immediately reported to staff. All reports will be taken seriously and thoroughly investigated in a confidential and objective manner. We encourage open communication between participants, parents/guardians, and staff.

Consequences

  • Suspension: The student(s) involved in bullying may be suspended from programming for a designated period without refund.
  • Expulsion without reimbursement: In cases of severe or repeated bullying incidents, the camper may be expelled from NoVAPA without any reimbursement of fees paid.

All reports and investigations will be handled with strict confidentiality, respecting the privacy of all parties while ensuring the safety of the NoVAPA community.

08Communication Policy

Primary Mode: Email serves as the primary mode of communication for all matters related to NoVAPA programming. This allows for clear and documented correspondence.

Communication Schedule

  • Payment Reminders: Sent in advance of each scheduled payment date.
  • Program Updates: Once in May and once in June for summer programming.
  • Pre-Camp Notification: Three days before camp commences with essential details.
  • Daily Communication during Camp: Regular updates throughout the duration of the camp.

09Attendance

All programs require meticulous attendance record keeping. In the event that your child is unable to attend due to illness, please notify us immediately. We are unable to provide reimbursement for missed days; this policy applies to all participants to ensure fairness and consistency within our programs.

10Photo & Video Policy

Photography and Videography: As part of registration, we reserve the right to take photos and videos of every participant while they are attending our programs.

Consent: By registering, participants and their legal guardians grant permission for camp organizers and staff to capture photos and videos that may include the camper.

Intended Use: These materials may be used for promotional materials, social media, website content, and internal documentation. Personal information such as names or contact details will not be disclosed or associated with the photos or videos used for promotional purposes.

Opt-Out Option: If you do not wish for your camper to be photographed or videotaped, please inform our staff during the registration process or contact us directly to discuss alternative arrangements.

11Release of Liability

By participating in Northern Virginia Performing Arts activities and events, you acknowledge and agree to release all members of NoVAPA — including staff, Board members, and any other parties involved in the organization and administration of NoVAPA — from any liability for injuries sustained or the unlikely event of death occurring in or around an NoVAPA venue. This release applies to all activities and events organized by NoVAPA. Participation in NoVAPA activities implies acceptance of this policy.

12Medical Emergencies

Activity Participation: I grant permission for my child or ward to participate in all activities organized by Northern Virginia Performing Arts, except as indicated in the ‘Medical Information’ section.

Medical Insurance and Coverage: I acknowledge that NoVAPA provides no health insurance or medical coverage. By registering, I accept responsibility for the payment of any medical treatment required by my child or ward during their participation in the program.

Medical Authorization: I grant permission for Northern Virginia Performing Arts or its representatives to procure any necessary medical assistance for my child or ward while they are under NoVAPA supervision. I authorize NoVAPA or its representative to allow any competent medical professional to take all reasonable measures to treat any injury or sickness that my child or ward may experience.

13Medication

For programming that is longer than 4 hours, all medication should be given to the onsite supervisor in a Ziploc bag with clear instructions and labeling. Only the amount for the given program will be accepted. Should your child need medication, it will be administered by the onsite supervisor. We regrettably will not be able to administer any medication for programming less than 4 hours in length. If your child is 12 years or older, except for in the event of an emergency, they will be required to store and take their own medication.

14Microphones

Theatre programming requires microphones to amplify children’s solos and lines over orchestral music. We have highly qualified sound designers who work with students throughout the program. It is possible that your child may receive a wireless lapel microphone; however, we do not have a microphone for every child. We have 12 microphones, each valued at $900.

Students will be instructed not to touch these microphones. The microphone will be placed on the student by one of our sound designers using microphone belts, microphone tape, and IV Prep wipes. Should the microphone break while in the student’s possession, you will be responsible for repairing the microphone or purchasing a new microphone valued at $900. While these microphones are durable, students should not be touching their microphone or allowing others to touch their microphone at any time.

15Performance

If a performance is at the end of your programming, the following policy is expected to be adhered to at all times.

  • Mandatory Participation: Students must participate in the performance. Failure to do so will result in the forfeiture of their tuition for the current year.
  • Eligibility: Students who do not participate in the performance are not eligible to attend future programming.

16Independent Entity

Northern Virginia Performing Arts is an independent entity. NoVAPA maintains its own insurance policy to cover its activities and operations. The insurance coverage is specific to NoVAPA and does not extend to any other entity. Due to federal HIPAA and FERPA regulations, NoVAPA does not have access to any child’s Individualized Education Program (IEP) or Health Care Plan (HCP). NoVAPA cannot review or work with confidential student records governed by these regulations.

Privacy Policy

A summary of how we handle the information you share with us.

Northern Virginia Performing Arts respects your privacy. The notes below summarize our current practices; a full Privacy Policy document is being prepared and will be posted here on its effective date.

01Information We Collect

When you register, contact us, or use our site, we may collect: name and contact details, participant date of birth and emergency information, medical and dietary information needed for participation, billing and payment details (processed via our payment provider, Stripe), and standard analytics data such as IP address, browser type, and pages visited.

02How We Use It

  • To process registrations, payments, and tuition transfers.
  • To communicate about programs, payment reminders, and schedule updates.
  • To provide appropriate care and supervision during programming.
  • To improve our website and programs through aggregated analytics.
  • To comply with legal obligations, including HIPAA and FERPA where applicable.

03Sharing & Disclosure

We do not sell personal information. We share information only with: (a) service providers acting on our behalf (e.g., Stripe for payments, HiSawyer for registration, email service providers); (b) authorized staff and instructors with a need to know; (c) emergency medical personnel when necessary for participant safety; and (d) authorities where required by law.

04Your Rights

You may request access to, correction of, or deletion of your personal information by contacting us at the address below. If you live in a jurisdiction with additional rights (such as California or under the GDPR), please note them in your request and we will respond accordingly.

05Security

We use reasonable administrative, technical, and physical safeguards to protect personal information. Payment information is handled by Stripe and is not stored on our servers. No method of transmission over the Internet is 100% secure; we cannot guarantee absolute security.

06Children’s Information

Most of our participants are minors. Information about children is collected only from a parent or legal guardian during the registration process and is used solely for purposes related to the child’s participation in our programs.

Cookie Policy

This Cookie Policy explains how Northern Virginia Performing Arts uses cookies and similar tracking technologies on our website. It supplements our Privacy Policy.

04Do Not Track

Our website does not respond to “Do Not Track” browser signals because no industry standard exists. We do honor GPC, as described above.
