All tuition fees are non-refundable. If your child drops out 60+ days before the program starts and the balance has been paid in full, the amount paid can be applied as a tuition credit toward a future program (good for one year, with a $90 administrative fee). Withdrawals must be submitted in writing at least 30 days before the start date. Withdrawals made within 30 days are not eligible for any tuition credit. No refunds are issued for missed days, early withdrawal, weather cancellations, or location changes.
Tuition insurance is optional but highly recommended — it's the only way to receive a monetary refund (rather than a credit) if you need to withdraw. The refund scale: 100% if cancelled 76–90 days before the start date, 75% if 51–75 days prior, 50% if 31–50 days prior, and 0% within 30 days. The insurance amount itself is non-refundable and is deducted from any refund. You must purchase tuition insurance at the time of registration to be eligible.
For summer camps, payment in full is due at the time of registration unless a predetermined payment plan is established. Students with unpaid balances will not be allowed to participate until full payment is received. A 3% late fee applies weekly to unpaid balances, and a 3% fee is charged for each declined payment. Failure to complete payment will result in forfeiture of all previously paid tuition.
Tuition can only be transferred between members of the same household — transfers to waitlisted families or other community members are no longer permitted as of July 2025. To request a transfer, contact our administrative office at least 60 days before the camp start date with proof of payment in full and household membership. A $90 administrative fee applies to all tuition changes, including transfers and future credits.
Starting 15 minutes after the camp end time, a late pick-up fee of $15 per 15-minute increment will be charged (so 4:15 pm = $15, 4:30 pm = $30, etc.). For early drop-off, children left unattended before the start time will be assessed a $1 per minute fee at staff discretion. Please communicate any expected delays in advance so we can ensure your child's safety and supervision.
No refunds or credits are issued for missed days or early withdrawal. Registration is a commitment to paying the entire program fee regardless of attendance. If your child is sick, please notify us right away so we can maintain accurate attendance records — but we encourage every effort to attend all scheduled sessions to get the most out of camp.
NoVAPA reserves the right to change a camp location due to circumstances beyond our control (facility closures, safety concerns, weather, etc.). We'll make every effort to secure a comparable alternate venue within a reasonable distance and notify families by email as promptly as possible. A change in location does not constitute grounds for a refund, credit, or withdrawal without penalty. If camp is cancelled for weather or emergency, a make-up class will be scheduled by the instructor — no monetary refunds are issued.
Yes — participation in the final performance is mandatory. Students who do not participate in the performance will forfeit their tuition for the current year and will not be eligible to attend future NoVAPA programming. Please confirm your child's availability for the performance dates before registering. Performance schedules are listed on each camp's registration page.
By registering, families grant NoVAPA permission to take photos and videos of campers, which may be used for promotional materials, social media, our website, and internal documentation. Personal information (names, contact details) is never associated with promotional images. If you'd prefer your child not be photographed, please inform our staff at registration so we can make alternative arrangements.
For programs longer than 4 hours, all medication should be given to the onsite supervisor in a labeled Ziploc bag with clear instructions, containing only the amount needed for the program duration. The onsite supervisor will administer medication as needed. Students age 12+ are responsible for storing and taking their own medication, except in an emergency. Unfortunately, we cannot administer medication for programs shorter than 4 hours.
We have 12 wireless lapel microphones — each valued at $900 — which are assigned during Week 2 by our sound designers. Not every child will receive a microphone; students without one work with our team on projection techniques so their voices still carry. Microphones are placed on students using belts, tape, and IV Prep wipes, and students are instructed not to touch them. If a microphone is damaged while in a student's possession, the family is responsible for repair or replacement ($900).
Email is our primary mode of communication so everything is documented. You'll receive: payment reminders before each due date, general program updates in May and June, a pre-camp notification three days before camp starts, and daily communications throughout camp itself covering schedule, activities, and announcements. If you have questions outside this schedule, email us anytime at info@novapa.org.
We maintain a zero-tolerance policy for bullying in any form — verbal, physical, emotional, or otherwise. All reports are taken seriously and investigated confidentially. Substantiated incidents may result in suspension (without refund) or expulsion (without reimbursement) depending on severity. Alongside discipline, we provide support and education to foster empathy, conflict-resolution skills, and a respectful camp community for every camper.
NoVAPA does not provide health insurance or medical coverage — families are responsible for any medical treatment costs. By registering, you authorize NoVAPA to procure necessary medical assistance for your child while under our supervision. Please note that due to federal HIPAA and FERPA regulations, NoVAPA does not have access to and cannot work with confidential student records such as IEPs or Health Care Plans. Please share any relevant medical information with us directly at registration so we can support your child appropriately.
